OSS DANCEFEST participants registration
Terms & Conditions — OSSDF
Effective October 15, 2026
  • Acceptance
By registering a school, submitting a dancer or staff registration, signing a parent consent form, or signing in to judge, tabulate, or administer through ossdancefest.ca/app (“the Platform”), you agree to our Terms & Conditions, Privacy Policy and Security Information of yourself or, where applicable, the student or your child you’re registering. If you don’t agree, please don’t use the Platform — contact OSSDF directly instead.
  • Who this applies to
    1. Schools & Teachers — register the school, build the roster, submit dance entries, and are responsible for what’s submitted on their students’ behalf
    2. Student Participants — dancers and choreographers registering through their school’s invite link
    3. Parents/Guardians — providing consent and media release for a participant under 18, or confirming their own if 18 or older
    4. Choreographers — submitting an entry via a school-scoped link, without needing their own account
    5. Judges, Tabulators & Admins — OSSDF-authorized volunteers scoring entries or running the event
  • Accounts & accuracy
A school’s registering teacher is responsible for keeping their School ID and password confidential, and for the accuracy of everything entered for their students and staff — names, grades, dietary needs, and entry details. Please complete each registration form only once per person; the Platform is built to update an existing entry rather than create a duplicate when the same student registers again.
  • Fees & payment
Registering a school, a participant, or a dance entry carries a fee, set each season and shown throughout the registration forms. Fees are arranged through your school — the Platform itself does not collect credit or debit card or banking details; payment is invoiced and paid using e-transferred, or paid by cheque directly with OSSDF’s treasurer. Once paid, registration and participation fees are non-refundable.
  • Integrity & conduct
Every participant agrees to the Integrity Agreement during registration. The same five expectations govern anyone using the Platform to submit or perform an entry:
    1. Original choreography — composed by the student, or a genuine collaboration within the school, not sourced from social media, other performers, or private studio instructors.
    2. Good sportsmanship toward every school competing.
    3. Appropriate music — content, cultural meaning, and lyrics suitable for the event.
    4. Original, appropriate costuming, not borrowed from a private studio.
    5. No recording other participants at the live event.
  • Media release
Where a performance is recorded or photographed, its use is governed by the Media Release signed during Parent Consent — see the Privacy Policy for what that covers. Registering a participant without a completed, valid consent form may result in that entry being withheld from the program.
  • Choreography & ownership
Choreography, music selection, and costume design submitted through the Platform remain the property of the student(s) and school who created them. By submitting an entry, you grant OSSDF a limited license to record, store, and — subject to the Media Release — use footage of the performance for judging, education, and festival promotion. OSSDF does not claim ownership of any participant’s original work.
  • Prohibited use
    1. Submitting false information about a participant, school, or entry
    2. Attempting to access another school’s account, roster, or another portal (judge, admin, tabulator) without authorization
    3. Uploading music or files you don’t have the right to use
    4. Automated scraping, load-testing, or bulk data collection from the Platform
  • Liability
The Platform is provided as-is, run by a volunteer, not-for-profit board. While we take reasonable care with your data (see Security Information form), OSSDF isn’t liable for indirect or consequential loss arising from its use, including missed deadlines due to technical issues — registration windows are communicated in advance for exactly this reason.
  • Governing law & changes
These terms are governed by the laws of the Province of Ontario, Canada. We may update them between seasons; continued use of the Platform after a change means you accept the update. Questions about these terms: ossdancefest@gmail.com
